Personalhuset wanted to identify and establish best recruitment practices for their main staffing areas. They created a taskforce of competent and innovative employees to test and analyse processes.

Results

Personalhuset measured the effect of changing recruitment platform to Mojob (from a well-known legacy recruitment system). In this case study Personalhuset got assessed 200 applicants and hired 15 people. Key observations and results from the case study:

  • Candidates loved the digital experience and reported that it made a positive impact on their impression of Personalhuset

  • The pre-screening process became 5 times more efficient

  • The interview process became 1,8 times more efficient

  • Recruiters reported much better talent overview and reduced stress levels

  • Using Mojob they designed visual and mobile-optimized ad landing pages.

  • By integrating with Google and Facebook they tracked where top candidates came from (the integration also allowed training/optimizing of Facebook and Google AI to find the right talent profiles)

As a point of departure they designed a process using two main automation rules:

  • Automatic rejection of candidates that did not meet “dealbreaker” criteria. This included a personal rejection message stating the rejection reason.

  • Automated video screening of candidates with top scores in pre-screening.

They activated push notifications for the recruiters to enable swift review of incoming video answers to secure getting the best talents in for interviews.

The interview invitations where provided with open time slots for candidates to choose from. After chosing a time slot the interview was automatically created in both the candidate´s and the recruiter´s calendar. The recruiters were encouraged to set aside an “interview day” with back to back interviews to avoid distractions and maximize productivity.

Onboarding

Seamless and tailored onboarding

The interviewed candidates were moved to a step of the process called “onboarding”. The set-up triggered an invitation to a rigorous but fun onboarding course in the disruptive e-learning tool, Motimate. When the candidate had completed the courses and passed the background check, they were set to “Hired” (temps) and were ready to start working for Personalhuset’s clients.

Using Mojob they created highly visual “to the point” job listing pages addressed to mobile candidates

By integrating with Google and Facebook they tracked where top candidates came from (the integration also allowed to train the Facebook and Google AI to find perfectly matched candidates)

Hiring process

Automation and increased human touch

The simple application process gathered the needed information to create automation rules:

Automatic rejection of candidates that did not meet “dealbreaker” criteria (with personal emails explaining the reasons)

Manual review of ones that did not get a top score on their application, but qualify for all criteria

Automatic screening of candidates with top scores and inviting them to answer questions through a one-way video interview

When the answer is delivered the Personalhuset consultant is nudged to review one-way video interviews. From there they made a decision, adhering to lean principles:

They selected a time slot and the interview was created in the candidate and recruiter calendar. The interviewed candidates were moved to a step of the process called “onboarding”. The set-up triggered an invitation to a rigorous but fun onboarding course in the disruptive e-learning tool, Motimate. Result

We have meticulously measured the effect of implementing Mojob process to the previous process (assumed to be the industry average). We’ve made five key observations:
