Diplom-Is and Mojob

Diplom-Is hires 150-200 sales representatives annually for their ice cream trucks ahead of each season (March to September). After a season with a severe shortage of applicants, Diplom-Is realized that something needed to change.

Diplom-Is discovered that the primary reason for the lack of job applicants was that many candidates did not complete the application process. They logged in to check how to submit the application but, instead of completing it, they chose to log out.

Diplom-Is suspected that low user-friendliness was the underlying cause of many candidates not finishing the application process. They also suspected that email communication with young candidates had a negative impact.

Another significant challenge was that regional managers found the candidate management process to be cumbersome and time-consuming.

With these challenges in mind, Diplom-Is entered into a dialogue with Mojob to:

  • Test if increased user-friendliness and a simplified application process could lead to more completed job applications.

  • Determine if enhanced user-friendliness could save time and simplify candidate management for regional managers.

Simplifying the Application Process

A crucial step for increased user-friendliness was to reduce the number of clicks and the amount of information required to submit a job application. The application requirements were reduced to the following: email, name, phone number, date of birth, and responses to short screening questions. This made it easy for applicants to complete the application on their mobile devices.

Use of Chat Communication and Automation

By replacing email with chat communication, the recruiting team was able to engage more closely with each candidate. Chat communication allowed for faster responses and the ability to move candidates through the process more quickly.

In designing the recruitment process, Diplom-Is opted for automation with variables. In certain stages of the process, the machine automatically responded to candidates, but with a personalized touch where they used candidates' first names. For instance, relevant candidates received automated responses and were progressed in the process just one hour after submitting their application. This saved a lot of time in candidate management, improved candidate experiences, and reduced the risk of losing good candidates to competitors.

Use of Automated Video Screening

Diplom-Is also chose to automate the collection of video responses to predefined questions. Candidates received a chat message with a link to easily record short responses (up to 20 seconds per video clip) using their mobile or PC cameras. This led to time savings and higher quality physical interviews. Time savings came from automation, the simplicity of providing responses, and less "wasted" time on poor interviews. Information from video responses made Diplom-Is more confident in selecting candidates for physical interviews. Consequently, they were able to significantly reduce the number of interviews compared to previous years.

Use of Automated Digital Reference Checks

Previously, Diplom-Is had to hire an additional 50% position to conduct reference checks. These checks involved manual phone calls and record-keeping, a heavy and time-consuming process. By transitioning to automated digital reference checks with Mojob, there was no need for additional assistance. The time savings and contributions to reducing "time to hire" were significant.

Results

After reviewing the data from the pilot project with Mojob, Diplom-Is concluded that simplifying the application process and increasing user-friendliness led to a significant increase in the percentage of completed job applications and time savings. Additionally, Diplom-Is and the team made several other exciting discoveries. Here is a summary of the most important results from the collaboration between Diplom-Is and the Mojob recruitment platform:

  • The percentage of completed job applications, as measured by reduced "drop-off rate," was more than halved from 50% to 23%.

  • "Time to hire" was reduced by half, from approximately one month to two weeks.

  • Automated video screening resulted in time savings and higher interview quality.

  • Qualitative surveys of candidate experiences showed increased satisfaction, even with a significantly higher degree of automation.
